We are looking for an experienced Administrative Support Professional to join our client’s Medical Products Division team located in Flagstaff, AZ. The position is a temporary position for 24 months, remote, and requires travel up to 10% between local facilities and offsite events. This role will require advanced administrative support skills, excellent customer service, solution-oriented thinking, and an ability to design and implement process involvements. The candidate will possess a willingness and capacity to collaborate across multiple disciplines within the business and be able to build and maintain strong interpersonal relationships.
You will be responsible for:
- Engage with both internal and external customers
- Managing calendars, coordinating travel, scheduling, and coordinating facilities and equipment
- Generating, proofreading, and distributing correspondence and reports while ensuring data integrity and maintaining databases
- Preparing presentations, tracking, and filing expenses and maintaining team files as required
- Answering and directing calls
- Managing time with everyday tasks, projects, communication, and correspondence
- Coordinating both in-person and virtual meetings and special events such as logistics, agendas, meeting support, meeting minutes, meals, electronic platforms, AV coordination, travel coordination, facility and/or venue scheduling, etc.
- Implementing, coordinating, and participating in process improvement initiatives
- Collaborating with diverse teams and communicate complex information across
- Developing strong network and partnerships
- Professionally represent our client and work effectively as part of a team
Required Qualifications:
- Minimum 3 years of experience in one of the following roles: administrative support, executive assistant, receptionist, professional teaching, or customer service focused role
- Demonstrating experience in project follow-through from conception to completion
- Advanced knowledge in Microsoft Office Suite, email and calendar management, and knowledge in other software and data management systems.
- Strong organizational skills with an attention to detail. Self-directed and motivated with consistent drive for continued learning
- Maintain clear, engaged, and approachable telephone communication skills
- Perform administrative tasks accurately in a fast-paced environment while maintaining a high level of customer service, business professionalism, and strong communication skills
- Ability to initiate and provide excellent customer service in-person and virtually
- Ability to travel approximately 5%-10% of work time likely between local facilities and occasionally to offsite meetings or events
Preferred Qualifications:
- Accredited professional administrative certifications (e.g. PACE)
- Experience providing direct administrative support to teams of people or multiple individual contributors
- Intermediate to advanced knowledge in Microsoft apps such MS Teams, SharePoint, Forms, Lists, Power BI, and Planner

Pay: $55,000 – $78,000 a year

- Primarily remote
- 8 AM – 5 PM
- 40 hours a week
- Travel: 5% – 10% between local facilities and offsite events
